Data Protection Policy

Your privacy is important to us. This privacy policy is intended to give you confidence in the privacy and security of the personal information we obtain from you. Please be assured that we take this matter very seriously and has our full focus to ensure we abide by the relevant guidelines and legislation.

We require the contact details (email and/or mobile number) of all persons we photograph (usually the parents) in order to provide individual log in codes to view photographs on our web site.

The log in codes only access that particular individual’s images (not the whole club or school) and therefore need to be sent to a personal email or number.
They will only be used for communicating that images are either available to view or getting close to being deleted from the site. All communication will be taken in conjunction with the club and data shall not be kept for longer than necessary.

The server systems we use store hundreds of terabytes of photos and user data, on very reliable mirrored RAID6 storage arrays. To get the a fully controlled and monitored environment, and to provide the uptime and the reliability necessary for our services, we have built our own dedicated computer centre in a massive second world war bunker. This bunker is also used by other national and international Telco’s, and the national archive. Access to the bunker is secured. Redundant cooling systems and high quality UPS systems are installed. First class internet connectivity is provided with a dual 10GB fibre access.

All security on our Websites is treated seriously. Where applicable, we undertake security steps, including use of SSL technology, on our back-end systems that store customer account information and to protect data transmissions.

If you have any further concerns about data, please email our Customer Service team at

Changes in this policy will be posted on our Websites. You are advised to check our Websites regularly to view our most recent privacy policy.
